Terms & Conditions for Wheels for Wales exhibitors

IMPORTANT – PLEASE READ CAREFULLY BEFORE ATTENDING

NO VEHICLES ARE PERMITTED TO ENTER THE FIELD AFTER 10:00 AM – REGARDLESS OF TICKET STATUS.

(THIS CONDITION IS STRICT AND MUST BE FOLLOWED.)

1. Attendance and Arrival Requirements

1.1 All participants must arrive between 8:00 AM and 9:30 AM.
1.2 Any participant arriving after 9:30 AM will not be permitted onto the field or into the show area.
1.3 Participants may leave the event early only when accompanied by an authorised volunteer (VOL).

2. Restrictions on Vehicles

2.1 No cars are permitted onto the field after 10:00 AM under any circumstances (including those holding valid tickets, unless granted by Event organisers).
2.2 Participants failing to comply with this rule will be refused entry.

3. Leaving the Event

3.1 If a participant intends to leave before 3:00 PM, they must inform event staff either before the event day or at check-in on the morning of the event.
3.2 Participants who have notified early departure will be positioned near the entrance for safe exit.

4. Early Departure Conditions (Before 3:00 PM)

4.1 Any participant leaving before 3:00 PM must sign a document confirming the following:

They understand and acknowledge that any incident, accident, or damage occurring while they are leaving the site is not covered under the event’s insurance.
They understand that by leaving early, they automatically void their coverage under the event’s insurance policy.

4.2 All participants leaving before 3:00 PM are asked to make a £30 donation to the event, payable immediately at the time of departure.

5. Required Check-Out Procedure

5.1 No participant may leave during the event without speaking directly to an authorised event representative or volunteer.
5.2 Participants who attempt to leave without checking out will be recorded as violating event safety rules and may be refused participation in future events.
